Requesting a return or cancellation
To request a return or cancel an unfulfilled order, sign in to your customer account and open the relevant order.
SpareFaber.com is operated by Ajman Factories Equipment Trading,
United Arab Emirates.
SpareFaber supplies specialised industrial automation, electrical, electronic and machine components. Products may include factory-new, new-surplus, new-old-stock, obsolete, discontinued, refurbished and used items.
Many products are identified and ordered using exact manufacturer part numbers and may be sourced, configured, assembled or supplied for a particular industrial application.
Nothing in this policy excludes or restricts rights or remedies that cannot legally be excluded. Where mandatory consumer law provides greater protection than this policy, the mandatory law will apply.
Verify the product before ordering
Customers must verify all relevant requirements before placing an order, including:
Complete manufacturer part number;
Model and revision;
Voltage and electrical characteristics;
Interface, signal type and connector pinout;
Mechanical dimensions;
Shaft, flange and mounting arrangement;
Firmware or software compatibility;
Suitability for the intended machine or application.
Products that look physically similar may have materially different electrical, mechanical or communication specifications.
Return authorisation
Except when exercising a mandatory statutory withdrawal right, products must not be returned without written return authorisation from SpareFaber.
To request a return, provide:
Order or invoice number;
Product name and complete part number;
Reason for the return;
Photographs of the product;
Photographs of the packaging, serial number and identification labels;
A description of any reported fault;
Video, wiring information or measurement results where relevant.
Return authorisation is used to provide the correct return address and shipping instructions.
For an EU consumer exercising a statutory right of withdrawal, return authorisation is an administrative shipping step and is not intended to prevent a valid withdrawal notice submitted within the applicable period.
Incorrect, damaged or defective products
Please contact SpareFaber as soon as reasonably possible if:
The wrong product was supplied;
The delivered quantity is incorrect;
The shipment arrived damaged;
The product is materially different from its listing;
The product appears defective on delivery.
For carrier damage and incorrect-delivery investigations, please notify us preferably within 7 calendar days of delivery. This notification request does not remove mandatory rights relating to defective or non-conforming goods.
Claims should include photographs, serial numbers, packaging photographs and a clear explanation of the issue. Video, wiring diagrams, voltage measurements or other troubleshooting information may be requested where reasonably necessary.
Where SpareFaber confirms that the product is incorrect, damaged in transit or defective, we will provide an appropriate remedy and bear reasonable standard return-shipping costs where required by applicable law.
EU Consumer Right of Withdrawal
This section applies to individuals purchasing primarily for purposes outside their trade, business, craft or profession where EU consumer law applies.
It does not ordinarily apply to purchases made wholly for business or professional purposes.
Fourteen-day withdrawal period
An eligible EU consumer may withdraw from an online purchase without giving a reason by notifying SpareFaber within 14 calendar days after delivery of the last item in the order.
If the final day falls on a weekend or applicable public holiday, the period extends to the next working day.
The customer may submit the withdrawal request through the available Shopify customer-account return or cancellation function, or by sending a clear written statement to SpareFaber.
EU consumers generally have 14 days from delivery to communicate withdrawal without justification.
Returning the goods
After notifying SpareFaber of withdrawal, the customer must return the goods without undue delay and no later than 14 days after communicating the withdrawal.
Unless SpareFaber agrees otherwise, the customer is responsible for the direct cost of returning a non-defective product under the cooling-off right, provided this responsibility was disclosed before purchase.
The customer should use a tracked and appropriately insured shipping service suitable for the product’s value.
Refund following EU withdrawal
For a valid EU withdrawal, SpareFaber will refund:
The amount paid for the returned product; and
The cost of the least expensive standard outbound delivery option offered for the order.
Additional costs resulting from the customer selecting premium, express or non-standard delivery are not required to be refunded.
The refund will be made without undue delay and normally no later than 14 days after SpareFaber receives the withdrawal notice. SpareFaber may withhold the refund until the goods are received or the customer provides evidence of return, where legally permitted.
Product inspection and diminished value
The customer may inspect the product only to the extent reasonably necessary to establish its nature, characteristics and functioning.
If the product has been installed, energised, programmed, altered, damaged or handled beyond what is reasonably necessary for inspection, SpareFaber may deduct the actual reduction in value, where permitted.
No automatic percentage restocking fee is applied solely because an EU consumer exercises the statutory withdrawal right.
EU withdrawal exceptions
The withdrawal right may not apply to products or services that fall within a recognised legal exception, including:
Products manufactured to the customer’s specifications;
Clearly personalised products;
Custom-made cable assemblies or machined components;
Products irreversibly programmed or modified specifically for the customer, where legally exempt;
Sealed software that has been unsealed;
Fully performed services where the customer expressly requested immediate performance and acknowledged the applicable consequences;
Urgent repair or maintenance services requested by the customer.
Merely sourcing an otherwise standard product specifically for an order does not automatically make the product personalised or exempt. Applicable exemptions will be assessed according to the nature of the product and applicable law. EU guidance recognises custom-made or clearly personalised products as exceptions, but not every ordinary special-order item automatically qualifies.
Business and Non-EU Change-of-Mind Returns
Business-to-business purchases and non-EU change-of-mind purchases are not automatically eligible for return unless applicable law, an individual product page, quotation or written agreement provides otherwise.
SpareFaber may, at its discretion, approve the return of a correctly supplied standard-stock product when:
The request is made within 7 calendar days after delivery;
The product remains unused and uninstalled;
Packaging and seals remain intact where applicable;
The product is complete and in resaleable condition;
Serial numbers and identification labels remain unaltered;
Written return authorisation is obtained.
Approved non-defective discretionary returns may be subject to:
Return-shipping costs;
Non-refundable outbound shipping;
Reasonable inspection or testing costs;
Non-recoverable payment-processing expenses where lawful;
A restocking deduction of up to 20%, disclosed before the return is authorised.
No restocking fee applies where the return is required because SpareFaber supplied the wrong product or accepted that the product was defective or materially misdescribed.
Products generally not eligible for discretionary return
Except where mandatory law or an accepted defect claim requires otherwise, discretionary returns may be refused for:
Custom-manufactured products;
Custom cable assemblies;
Specially programmed or configured products;
Products modified to customer requirements;
Products expressly marked Final Sale, As-Is, For Parts, or Non-Returnable;
Obsolete or discontinued products specially sourced under agreed B2B terms;
Installed, connected, energised or commissioned products;
Products damaged through incorrect voltage, polarity, wiring or installation;
Products damaged by contamination, mechanical impact or unsuitable environmental conditions;
Opened consumables, seals, batteries, filters or similar items;
Products with altered, removed or damaged serial numbers or security markings.
This list does not override a mandatory EU consumer withdrawal right where that right applies. Only legally recognised exceptions will be used for EU consumer orders.
Product condition requirements
An approved return must normally be:
In the condition in which it was received;
Complete with supplied accessories and documentation;
Securely packed for international transport;
Accompanied by proof of purchase;
Returned using the authorised method and return location.
Original packaging should be retained and used where reasonably possible. The customer remains responsible for the product until it reaches the authorised return location, except where applicable law provides otherwise.
Inspection and testing
Returned products may be inspected and tested before any refund, replacement or credit is approved.
Testing may assess:
Product identity and serial number;
The reported fault;
Electrical or mechanical damage;
Signs of installation or energisation;
Programming or parameter changes;
Contamination;
Tampering or unauthorised repair.
If no covered fault is found, or damage resulted from an excluded cause, reasonable testing, handling and reshipping costs may be charged where lawful and disclosed.
Refund processing
After an approved return is received and inspected, SpareFaber will notify the customer of the outcome.
Approved refunds are normally submitted to the original payment method within 10 business days after inspection, except where a shorter mandatory deadline applies.
Banks and payment providers may require additional processing time before the refund appears.
Customs duties, import taxes, brokerage fees and clearance charges paid to destination-country authorities are generally controlled by those authorities and are not automatically refundable by SpareFaber.
Replacements and other remedies
Where an eligible product is incorrect, defective or damaged, SpareFaber may provide:
Repair;
Replacement with the same product;
Replacement with an agreed equivalent;
Price reduction;
Store credit where accepted by the customer;
Refund.
The appropriate remedy depends on product availability, the nature of the issue, the applicable warranty and mandatory law.
EU consumers have separate statutory conformity rights for faulty or misdescribed goods; those rights are not replaced by SpareFaber’s commercial seller warranty or by the absence of a manufacturer warranty.
Order cancellation
Cancellation may be requested before dispatch.
EU consumers must be provided with an electronic method to request cancellation before fulfilment and withdrawal after delivery where the EU right applies.
For other orders, cancellation may not be possible after:
A supplier order has been placed;
Special sourcing has begun;
A product has been manufactured, assembled, configured or programmed;
Export documents have been prepared;
The shipment has been collected by the carrier.
Any unavoidable and non-recoverable costs may be deducted only where lawful, agreed and disclosed.
Manufacturer and SpareFaber warranties
Unless expressly confirmed in writing, SpareFaber does not represent that an original manufacturer warranty is included, transferable or available.
Where a product includes a SpareFaber Limited Seller Warranty, its duration and terms are stated on the product page, quotation, invoice or warranty page.
A SpareFaber commercial warranty does not replace mandatory legal rights relating to defective or non-conforming products.
